Vowley is a trading name of International Wildlife Consultants (UK) Ltd.

Vowley treats the privacy of its customers and website users very seriously and we take appropriate security measures to safeguard your privacy. This policy explains how we protect and manage any personal data you share with us and that we hold about you.

Personal data means any information that may be used to identify an individual, including a first and last name, company name, a home and an email address or other contact information. We may also collect and process CCTV images, records of any correspondence and communications with us.

How we obtain your personal data

Information provided by you

At various points, we may need to collect information about you or your family/fellow guests via email, online application or over the telephone, as well as on an enquiry form.  This includes name, contact number, email address and may include payment card details. We use this information in order to manage and administer your financial transaction with Vowley and for quotation purposes and marketing.  We may also keep information contained in any correspondence you may have with us by post or by email. The lawful basis for us holding and processing your personal data is; consent, contract or legal obligation.

Children’s Privacy

Because we care about the safety and privacy of children online, we comply with the Children’s Online Privacy Protection Act of 1998 (COPPA). COPPA and its accompanying regulations protect the privacy of children using the internet. We do not knowingly contact or collect personal information from children under the age of 13. The website is not intended to solicit information of any kind from children under the age of 13.

Social Media

We adopt a safe and responsible Social Media Policy. Should you choose to sign in or interact with using any of our social media platforms, we will collect personal data relevant to that platform for example your username, handle or your profile picture and any information that you have chosen to make public on our social media accounts. Facebook, for example, often collects personal data including name, age and location.

Photography and Marketing

Vowley reserves the right to use all photography and film taken on site for marketing and promotional activities. This includes, but is not limited to print and digital media formats including our website, YouTube channel, social media, in advertising, in magazines and other such material, providing that the images used are used lawfully.

Copyright

All photographs and film taken on site whether by Vowley staff, contractor, or visitor remain the copyright of Vowley unless agreed otherwise by prior arrangement.

Storage

The photograph(s)/film(s) will be stored securely on Vowley’s network and access is controlled and will be limited. All staff receive training on data protection and how to handle data securely.

Images captured at Vowley will be retained for a minimum of two (2) years from time of capture.


How we use your personal data

We use your personal data to manage and administer your requirements. We act as controller and processor in regard to the processing of your card payment instructions. We undertake at all times to protect your personal data, including any financial details, in a manner which is consistent with the requirements of the General Data Protection Regulation (GDPR) concerning data protection. We will also take reasonable security measures to protect your personal data in storage.

Do we use your personal data for marketing purposes?

We will hold your personal data only for the purposes of administering and managing requirements with us, and from time to time we may send out information that we feel may be of relevance to you.

How long do we keep this information about you?

We keep information in line with the retention policy of  Vowley. These retention periods are in line with the length of time we need to keep your personal information in order to manage and administer your requirements.  They also take into account our need to meet any legal, statutory and regulatory obligations. These reasons can vary from one piece of information to the next. In all cases our need to use your personal information will be reassessed on a regular basis and information which is no longer required will be disposed of.
